Welcome to Alpine Wonder Treks and Expedition! These terms and conditions outline the agreement between you (the "Client," "you," "your") and Alpine Wonders Treks ("we," "us," "our," "Alpine Wonders"). By booking a trip with us, you acknowledge and agree to these terms. Please read them carefully.
1. Booking Your Trip:
- Bookings can be made through our website, via email, by phone, or through our social media channels.
- The booking form must be completed by the lead traveler, including a copy of their passport. For travelers under 18, a parent or guardian's signature is required.
- Your booking is confirmed only upon our written confirmation (email, social media message, or letter) and receipt of your deposit. Online booking acknowledgements do not constitute confirmation.
- Please review all booking documents and invoices immediately upon receipt and notify us of any discrepancies.
- Last-minute bookings (1-3 days prior to departure) are accepted for Nepal trips only, subject to availability.
2. Deposit and Payment:
- A non-refundable deposit of 20% of the total trip cost per person is required at the time of booking.
- The remaining balance is due 1-3 days before your trip departure.
- For Bhutan, Tibet, and India tours, a 50% deposit is required at booking, and the final balance is due 20 days prior to departure.
- Failure to pay the balance by the due date may result in booking cancellation, and cancellation charges (see Section 7) will apply.
3. Trip Price:
- The trip price covers the inclusions specified in each trip itinerary, typically including accommodation, meals, and transportation during the trip.
- Exclusions may include international flights, visas, travel insurance, vaccinations, personal expenses, and trekking equipment (unless otherwise stated).
- We reserve the right to correct pricing errors and will inform you of any changes at the time of booking.
- We may adjust the trip price after booking confirmation due to fluctuations in taxes, fees, exchange rates, or transportation costs. If the surcharge is significant, you may choose an alternative trip.
4. Travel Insurance:
- Comprehensive travel insurance is mandatory for all travelers.
- Your insurance must cover trip cancellation, loss of personal belongings, and emergency medical evacuation, including helicopter rescue if necessary.
- You must provide us with your insurance details (name, policy number, emergency contact information) before departure.
- We reserve the right to refuse medical evacuation arrangements if insurance details are not provided.
- We are not responsible for lost or delayed luggage. Luggage insurance is recommended.
- You are responsible for ensuring you have appropriate trekking gear, personal belongings, and necessary medical supplies.
5. Health:
- You must inform us of any pre-existing medical conditions that may affect your ability to participate in the trip.
- We can assist you in selecting a suitable trip based on your health status.
- Providing false or incomplete health information may result in booking cancellation or trip termination, with applicable cancellation charges.
6. Special Requests:
- Please inform us of any special requests before booking confirmation.
- We will make reasonable efforts to accommodate your requests, but cannot guarantee their fulfillment. Written confirmation and applicable fees may be required.
7. Booking Cancellation by the Client:
- Deposits are non-refundable and non-transferable, except in cases of trip cancellation by us due to government regulations or unforeseen circumstances, in which case a full refund of the deposit will be issued.
- No refunds are provided for trips once they have commenced. We strongly recommend travel insurance that covers trip cancellation.
- Cancellation requests must be submitted in writing (email or social media).

8. Trip Postponement:
- If you cancel your trip for a valid reason, we may allow you to postpone it to a later date within [Number] months, subject to availability. The cancellation charges may be applied as credit towards your future trip. This is subject to our discretion. Your travel insurance policy may also cover cancellation costs.
9. Trip Transfer:
- You may transfer your booking to another person, provided they meet the trip requirements.
- We must be notified of the transfer in writing at least one week before departure.
- Any outstanding balance must be paid before the transfer is processed.
10. Changes to Confirmed Trip:
- We will make reasonable efforts to accommodate changes to your confirmed trip if requested in advance. Additional costs may apply.
- Changes to trip dates within the timeframe specified in Section 8 will not incur additional fees. Changes outside this timeframe will be considered a cancellation and subject to cancellation charges.
- Trip price adjustments may be necessary due to itinerary changes.
11. Itinerary:
- The trip itinerary is a guideline and may be subject to change due to factors beyond our control, such as weather, terrain, or political events.
- We will make every effort to adhere to the itinerary as closely as possible.
- Any additional costs incurred due to itinerary changes will be discussed and agreed upon with you.
12. Changes and Cancellation by Alpine Wonders Treks:
- We reserve the right to make changes to or cancel confirmed bookings due to unforeseen circumstances or insufficient bookings.
- We will notify you of any significant changes as soon as possible, offering the following options:Accept the changes and proceed with the trip.
- Choose an alternative trip of similar or higher value (additional costs, if any, to be agreed upon).
- Receive a refund for the cancelled trip.
- We are not liable for cancellations due to your failure to comply with our requirements.
- Flight delays or cancellations due to weather or other factors are beyond our control. You will be responsible for any additional costs incurred for accommodation and meals in such circumstances.
13. Our Liability:
- We are committed to providing your trip arrangements with reasonable care and skill.
- We accept responsibility for any failures due to our negligence or the negligence of our employees.
- We are not liable for losses or damages caused by you, third parties, or events beyond our control (force majeure).
14. Passport and Visa:
- You must have a valid passport with at least six months of validity remaining from your date of return.
- You are responsible for obtaining all necessary visas.
- Nepal visas are generally available on arrival.
Bhutan and Tibet visas are typically arranged by us, unless you have an independent Indian visa for Tibet travel. - Visa fees are not included in the trip price unless otherwise stated.
15. Damage:
- You are responsible for any damage you cause to property or equipment during the trip.
- You will be required to compensate for any damage to hired equipment.
16. Early Departure:
- If you leave the trip early, you will be responsible for all associated costs, including staff, transportation, accommodation, and communication expenses.
- We will not be responsible for these costs. Contact your travel insurance provider for possible reimbursement.
17. Helicopter Evacuation:
- In case of a medical emergency requiring helicopter evacuation, our staff will assess the situation and coordinate with your insurance company.
- You are responsible for all costs associated with the evacuation, including administrative fees, communication charges, and staff wages.
- Parents/guardians must accompany children requiring medical evacuation.
18. Complaints:
- If you have any complaints during your trip, please inform your guide or local agent immediately.
